Business Email on Your Own Domain in Kenya and Across Africa

Zoho Mail, Google Workspace or Microsoft 365, set up properly and landing in the inbox. We help you choose it, move to it and keep it running.

An address like [email protected] tells customers, donors and partners you are a real organisation. It only works if the platform behind it is set up properly, reaches the inbox and stays in your name when staff come and go.

Digital 4 Africa helps businesses, NGOs and schools in Kenya, Uganda, Tanzania, Rwanda, Burundi, Ethiopia, Nigeria, Ghana, South Africa and South Sudan choose between Zoho Mail, Google Workspace and Microsoft 365, move existing email across without losing a message, and keep it out of spam.

We earn no commission from Zoho, Google or Microsoft, so our recommendation follows your team, your budget and how you pay. Only need a few basic mailboxes? Email that comes with web hosting may be enough. No domain yet? Start with domain registration.

What Is Business Email?

Email on your own domain, owned by your organisation, not by individual staff

Business email is email that uses your own domain name, such as [email protected], instead of a free address like [email protected]. Every message carries your brand, and the accounts belong to your organisation rather than to individual staff.

You need three things. A domain you own. An email service that stores the mailboxes, such as Zoho Mail, Google Workspace, Microsoft 365 or your hosting plan. And DNS records that connect the two: MX records route incoming mail, while SPF, DKIM and DMARC prove your outgoing mail is genuine.

Get those records wrong and your email still sends, but more of it lands in spam. That is the most common problem we fix.

What Is Business Email - Digital 4 Africa

Choose Your Email Platform

Start with the apps your team already uses, how many mailboxes you need and how you will pay every year. The right platform follows from those answers.

How to Choose a Business Email Provider

Match the platform to how your team works, not to the cheapest first-year offer

Zoho Mail, Google Workspace and Microsoft 365 all give you reliable, secure email on your own domain. The difference is everything around the inbox: the documents, storage, video calls, AI and admin tools that come with it, and what each costs per person per month.

Price per user matters more than it looks. Ten mailboxes on Microsoft 365 Business Standard cost about fourteen times what they would on Zoho Mail Lite. That gap is worth paying when your team lives in Excel and Teams, and wasteful when they only send email.

One rule we never break. The admin account is opened in your organisation’s name, with logins you control. Not ours, and not your IT person’s personal account.

Use these tips when choosing business email

Count who really needs a mailbox. Shared addresses like info@ can be free aliases or groups
Pick the suite your team already knows, Gmail or Outlook
Compare the price per user per month at your real team size
Check mailbox storage, especially for staff who keep years of mail
Choose a payment method you can use at every renewal
Plan how you will close accounts when staff leave
Open the admin account in your organisation’s name, with two-factor login

Zoho Mail vs Google Workspace vs Microsoft 365

How the three main business email platforms compare

All three are secure, reliable and work on phones and laptops. Here is where they differ. List prices are in US dollars per user per month. Last checked: September 2026, including Microsoft’s price changes of 1 July 2026.

We earn nothing from any of them

Digital 4 Africa has no commission, referral or reseller arrangement with Zoho, Google or Microsoft. You buy directly from the provider or a local partner, and we charge only for the setup and support we do.

Zoho Mail Google Workspace Microsoft 365
Best for Teams that mainly need email, on a tight budget, or businesses already using Zoho CRM or Books. Browser-first teams that collaborate in Gmail, Drive, Docs and Meet. Teams that live in Outlook, Word, Excel and Teams, or need strong device and security controls.
Entry price Free for up to 5 users. Mail Lite from USD 1 per user per month. Business Starter from USD 7 per user per month, annual plan. Business Basic from USD 7 per user per month, annual commitment.
Storage at entry level 5 GB per user on Free and Mail Lite. 30 GB on Workplace Standard. 30 GB pooled per user on Business Starter. 50 GB mailbox plus 1 TB OneDrive per user on Business Basic.
Apps included Calendar, contacts and tasks. Workplace plans add Writer, Sheet, Show, WorkDrive, Cliq and Meeting. Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet and Chat. Outlook, Teams, OneDrive, SharePoint and web Office apps. Desktop apps from Business Standard.
Built-in AI Zia for writing help, summaries and inbox automation. Gemini in Gmail and Docs, with more features on Standard and above. Copilot Chat included. Full Microsoft 365 Copilot is a paid add-on.
Works in Outlook or Apple Mail Yes on paid plans. The free plan is web and mobile app only. Yes, though most users stay in Gmail. Yes, natively.
User limit on business plans No fixed cap on paid plans. Free plan stops at 5. 300 users. Larger teams move to Enterprise. 300 users. Larger teams move to Enterprise plans.
Watch out for Fewer third-party integrations than Google or Microsoft, and storage on Mail Lite fills fast. Starter’s 30 GB fills quickly for heavy attachment users, and meeting recording needs Standard. Business Basic has no desktop Office apps, and admin is more complex than Google’s.

Which Business Email Should You Choose?

No favourite. A clear verdict for each situation.

We recommend all three, for different teams. Mixing is also possible within Microsoft and within Zoho: put most staff on a cheaper plan and give heavier users the plan they need.

Choose Zoho Mail When

Your team mainly needs email, every shilling counts or paying in US dollars is hard. It is also the natural pick if you already run Zoho CRM, Books or Desk.

Choose Google Workspace When

Your team already uses Gmail, works in the browser and shares documents constantly. It is the simplest to run, with the least admin.

Choose Microsoft 365 When

Your staff live in Excel, Word, Outlook and Teams, or you need device management and tighter security. Donor and finance teams often fit here.

Choose Email With Hosting When

You need a handful of basic mailboxes, already pay for hosting and do not need shared documents or video calls. See web hosting.

Business Email Plans and Prices - Zoho Mail & Zoho Workplace - Digital 4 Africa

Zoho Mail and Zoho Workplace

Zoho Mail is the lowest-cost way to get ad-free, professional email on your own domain. The free plan covers up to five users on one domain, with web and mobile access only. Paid plans add Outlook and Apple Mail support, more storage and admin controls. Workplace plans bundle documents, file storage, team chat and video meetings for less than Google or Microsoft charge for email alone.

Low US dollar prices make Zoho the easiest platform to keep paying for where foreign currency is hard to get.

Business Email Plans and Prices - Google Workspace - Digital 4 Africa

Google Workspace

Google Workspace gives every staff member Gmail on your domain, plus Drive, Docs, Sheets, Meet and Chat. It is the easiest of the three to run, and teams that already use personal Gmail adapt in a day. Gemini AI is now included in business plans, with fuller features from Business Standard up.

Annual plans cost less than flexible monthly plans. Business plans stop at 300 users.

Business Email Plans and Prices - Google Workspace - Digital 4 Africa

Business Email Plans and Prices - Microsoft 365 - Digital 4 Africa

Microsoft 365 Business

Microsoft 365 puts Outlook email on your domain alongside Teams, OneDrive, SharePoint and the Office apps your staff already know. Business Basic uses web and mobile Office apps. Business Standard adds the desktop apps for Windows and Mac. Business Premium adds device management and advanced threat protection.

Microsoft raised Business Basic and Business Standard prices on 1 July 2026, with Business Premium unchanged. Copilot Chat is included, and the full Microsoft 365 Copilot is a paid add-on.

Business Email Plans and Prices - Microsoft 365 - Digital 4 Africa
Plan Price per user per month (annual) Storage Good for
Business Basic USD 7 50 GB mailbox, 1 TB OneDrive Email, Teams and web Office apps
Business Standard USD 14 50 GB mailbox, 1 TB OneDrive Teams that need desktop Word, Excel and Outlook
Business Premium USD 22 50 GB mailbox, 1 TB OneDrive Organisations needing Intune device management and Defender security
Microsoft 365 Copilot Add-on Not applicable AI in Word, Excel, Outlook and Teams, on top of a business plan

Email That Comes With Your Hosting Plan

Many web hosting plans include email on your domain at no extra cost. It suits a few basic mailboxes for a small team. The trade-offs are smaller mailboxes, weaker spam filtering, no shared calendars or documents, and email that goes down if the hosting does. When a team grows past a handful of people, one of the three platforms above is usually worth the move.

What to Check Before You Buy Business Email

Six questions that save you money and a messy migration later

Keep Your Business Email Out of Spam

Most spam problems are missing or broken DNS records, not bad luck

Gmail, Yahoo and Outlook.com now check every sender’s authentication, and bulk senders must have SPF, DKIM and DMARC in place or risk rejection. Smaller senders are judged on the same signals. If your invoices, proposals or donor reports keep landing in spam, the fix is usually in your DNS, not your wording.

Publish one SPF record that lists every service allowed to send as you
Turn on DKIM signing in Zoho, Google or Microsoft, and publish the key
Add a DMARC record, start by monitoring, then tighten it once reports look clean
Remove old providers from your records when you switch platforms
Send newsletters from a dedicated mailing service, not from staff mailboxes
Turn on two-factor login for every user, so hacked accounts cannot send spam
Check your domain against blacklists whenever delivery suddenly drops

Emails Going to Spam?

We check your MX, SPF, DKIM and DMARC records, test real messages, look up blacklists and fix what we find.

Account Hacked or Locked Out?

If a mailbox is sending spam or an admin login is lost, we help you secure the account, recover access through the provider and close the gap that let it happen.

From Spam Folder to Inbox: An Example From Our Work

Details changed to protect the client

A Nairobi-based NGO with about thirty staff ran its email on its web hosting. Messages to donors were landing in spam, mailboxes kept filling up, and when staff left, their passwords were passed around instead of their accounts being closed.

Finance and programme teams lived in Excel and Word, so we recommended Microsoft 365. We opened the tenant in the organisation’s name, migrated every mailbox, contact and calendar, and timed the MX switch so no mail was lost. We set up SPF, DKIM and DMARC, turned on two-factor login for all staff, and converted leavers’ mailboxes into shared mailboxes. A short session showed staff Outlook, Teams and Copilot Chat.

Donor emails now reach the inbox, mailbox limits are no longer a weekly problem and nobody shares a password to read a former colleague’s mail.

FAQs About Business Email in Kenya and Africa

Straight answers on cost, choosing a platform, migration, spam and ownership

Business email is email on your own domain, such as [email protected], instead of a free address like [email protected]. It looks more professional, the accounts belong to your organisation and you control them when staff leave. You need a domain, an email service and the right DNS records.

Register a domain such as yourbusiness.co.ke, choose an email service such as Zoho Mail, Google Workspace or Microsoft 365, and verify the domain with that service. Then add the MX, SPF, DKIM and DMARC records it gives you, create your users and connect their phones and laptops.

At the time of writing, Zoho Mail is free for up to five users and paid plans start from about USD 1 per user per month. Google Workspace and Microsoft 365 both start from about USD 7 per user per month on annual plans. Kenyan partners bill in shillings, for example about KES 700 per user per month for Microsoft 365 Business Basic.

None is best for everyone. Zoho Mail suits teams that mainly need email at the lowest cost. Google Workspace suits browser-first teams that collaborate in Gmail and Docs. Microsoft 365 suits teams that rely on Outlook, Excel and Teams or need stronger device security.

Yes, for up to five users on one domain, with 5 GB per user. The free plan works in the browser and Zoho’s mobile apps only, so you cannot connect Outlook or Apple Mail. Paid Mail Lite plans start from about USD 1 per user per month and add that access.

Not directly. Google and Microsoft bill in US dollars by card. Local partners in Kenya buy the licences for you and bill in shillings, usually payable by M-Pesa. Partners in Uganda, Tanzania, Rwanda and Ghana often accept mobile money too.

Yes. Old messages, contacts and calendars can be moved from cPanel hosting, Gmail, Zoho, Google Workspace or Microsoft 365. The switch is timed so new mail keeps flowing, and a final sync catches anything that arrived during the move.

The most common causes are missing or broken SPF, DKIM and DMARC records, an old provider still listed in your records, a hacked account sending spam, or newsletters sent from staff mailboxes. Checking your domain with a tool such as MXToolbox usually shows where the problem is.

They are DNS records that prove your email is genuine. SPF lists the services allowed to send as your domain. DKIM adds a digital signature to each message. DMARC tells receiving servers what to do with mail that fails those checks, and sends you reports.

Yes, for a few basic mailboxes. Hosting email is usually free with your plan, but mailboxes are smaller, spam filtering is weaker and there are no shared calendars or documents. Growing teams usually move to Zoho, Google Workspace or Microsoft 365.

Yes. Google includes Gemini in its business plans, with fuller features from Business Standard up. Microsoft includes Copilot Chat, and the full Microsoft 365 Copilot is a paid add-on. Zoho Mail includes its Zia assistant for writing help and summaries.

Zoho, Google and Microsoft store email in their own data centres, mostly outside Africa. Microsoft offers local storage for South African customers. If you hold sensitive personal data, check your country’s data protection law, especially in Rwanda and Tanzania.

Your organisation does. The admin account is opened in your organisation’s name and you buy the licences directly. We set things up and support them, but we never hold your admin login. If you change partners, your email stays with you.

Setup, migration, deliverability fixes, admin and training are quoted after a free consultation, once we know how many mailboxes you have and where they are today. You pay Zoho, Google, Microsoft or their local partner directly for the licences.

We serve clients in Kenya, Uganda, Tanzania, Rwanda, Burundi, Ethiopia, Nigeria, Ghana, South Africa and South Sudan, and work remotely with clients across the continent. We are based in Nairobi, and support can be remote, on site or a mix of both.

Let's Get Your Business Email Working, Properly

Most email problems start on day one. The wrong platform for the team, an admin account in someone’s personal name, missing DNS records or a migration that loses years of mail.

We work the other way round. We start with how your team works, how many mailboxes you need and how you pay. Then we recommend the platform, set it up properly and move your email across with you.
